Invoice disputes

Handle a disputed invoice

A clear way to work through a disputed invoice.

Give each dispute a shared workspace for documents, questions and decisions, whether you run the business yourself or with a small team.

Know what to gather and what to ask next.

A customer challenges an invoice by email. You need to understand why, find the documents and get an answer. A shared workspace gives that work a structure you can use for each case.

Fictional example: a €1,200 service invoice and a customer requesting a €120 discount. The panels illustrate the stages of the case.

01

Set out the disagreement and invite the customer.

Gather the invoice and the reason for the dispute. The customer accepts an invitation to join the workspace with their own access.

02

Bring both parties’ documents together.

Add your quote. The customer provides their order. Each document helps establish what was agreed.

03

Ask a specific question and keep the answer.

Ask when the discount was confirmed. The customer adds your confirmation email. The answer stays alongside the supporting documents.

04

Review a resolution and record the agreement.

Propose a €120 credit note. The people responsible review the terms and sign if they accept them. The agreement states what still needs to happen.

05

Keep the agreement and follow through.

Signatories receive the closing record. Use the agreed terms to issue the credit note in your accounting software and follow up payment.

RIGA changes neither the invoice nor the parties’ accounting. Resolution depends on their agreement and does not guarantee payment.

A repeatable approach for each dispute.

Keep documents together.

Store the invoice, quote and supporting evidence in the relevant case.

Give each request a recipient.

Direct questions and assign tasks so the work expected is clear.

Retain the decision.

Refer to the proposal and the people’s approvals when organising the next steps.

Bring in professional help with the context already in place.

If the disagreement persists, arrange for a lawyer or mediation professional to join the existing workspace. Within their granted access, they can review documents, exchanges and positions to understand what remains unresolved.

Your questions

How do I find my ongoing disputes?

The workspace list separates active cases, drafts and archived cases. Open the relevant case to review its documents, questions and tasks and pick up the work.

Does the customer have to participate?

Yes. They must accept the invitation to contribute documents, respond and record any agreement. RIGA cannot compel participation.
