Invoice disputes

Agreement and closing record

An agreement and closing record each signatory keeps.

Retain the agreed terms and their history after the dispute. Each signatory keeps a copy they can verify independently of RIGA.

Keep a usable record of how the dispute ended.

You may need to explain a credit note to your bookkeeper or check an agreement months later. The closing record retains the terms and the history of how they were agreed.

Fictional example: both parties agree to a €120 credit note. The closing record retains that commitment; issuing the credit note is a separate accounting action.

01

Specify the proposed resolution.

The parties set out the credit amount, relevant invoice and expected actions. Each can review the terms before making a commitment.

Proposed termsFictional example
Relevant invoiceDisputed €1,200 invoice
Proposed terms€120 credit note to issue
Responsible for issuingSupplier
02

Record approval from the people responsible.

Each party accepts the terms on its own behalf. The consents and the history of the agreement are recorded in the workspace.

03

Deliver the record to the signatories.

At closure, each signatory receives the agreed terms, consents, history and a verification report. Each keeps their own copy.

04

Verify the copy and organise the next steps.

The report supports offline verification of the history. You can share your copy with an adviser and arrange the accounting actions specified in the agreement.

RIGA changes neither the invoice nor the parties’ accounting. Resolution depends on their agreement and does not guarantee payment.

What the delivered record contains.

The agreed terms

The accepted proposal describes the resolution and the actions agreed by the parties.

Recorded consents

The record retains the approvals given by the people responsible.

Verifiable history

The report allows the recorded history to be checked without a RIGA account or an internet connection.

Your copy remains available after closure.

RIGA hosts a temporary copy of the closing record. Each signatory retains their own. The hosted copy is not deleted before the entitled recipients have retrieved their records.

Your questions

Does verification establish that every document is true?

Verification covers the recorded history, not the truth of the documents. A copy held on its own cannot prove completeness.

Does the record replace a credit note or payment?

No. It retains the agreement. Credit notes, accounting entries and payment are handled in the parties’ usual tools.

Can I get professional advice before agreeing?

Yes. You can arrange for a lawyer or mediation professional to join the existing workspace. They can review documents and exchanges within their granted access.
